Why client history matters more than you think
Every client interaction is either building trust or eroding it. When you reference something from a previous conversation — "You mentioned last month that you were planning to expand to Pune" — you signal that you listen, you remember, and they matter to you. That single moment is worth more than any pitch.
Conversely, when a client has to re-explain their situation for the third time, the opposite message is sent: you don't remember them, every call starts from zero, they're not important enough to track. This is one of the leading causes of client churn for service businesses.
What to track (and what not to)
The goal isn't to note every word — it's to capture the things that will make your next interaction more personalised and more effective.
Always track:
- Key decisions made in this interaction
- Open action items — what you promised, what they promised
- Pain points they expressed
- Important context (budget cycles, team changes, upcoming projects)
- Personal details they mentioned (business anniversary, a challenge they're facing)
Don't track:
- Generic filler ("had a good call, discussed things")
- Meeting logistics that belong in a calendar
- Information that's in a proposal or contract already
The 2-minute note habit
The most effective CRM users have one habit: immediately after any client interaction (call, email, meeting), they spend 2 minutes writing a note before moving to anything else. Not a paragraph — a few bullet points covering what was discussed, what was agreed, and what to follow up on.
Two minutes, immediately after. Not "I'll write it up later" — later never comes.
💡 Voice notes work too. If typing immediately after a call isn't feasible, record a 60-second voice note summarising the key points. Transcribe it later (or use an AI transcription tool). The immediacy matters more than the format.

Before the next call, spend 2 minutes reading this note. You'll walk into the conversation knowing exactly where things stand and what matters to this client — without asking them to catch you up.
